Therefore, PTT Group has founded Rayong Institute of Science and Technology Foundation to establish Vidyasirimedhi Institute, the first world-class research and educational institute in science and technology in Rayong, Thailand, with the emphasis on knowledge discovery and interdisciplinary cutting-edge research. Vidyasirimedhi Institute  is scheduled to open in the year 2015.

 


JOB PURPOSE:

General Administrative and Executive Assistant

  1. Perform secretariat duties to manage the smooth operations of the University’s and efficiency of the office’s activities by Planning, organizing and controlling all administrative functions.

 


KEY RESPONSIBILITIES, SCOPE FOR DECISION MAKING, DELIVERABLES:

Procurement

      Manage the procurement plan

  1. Review regulations related to purchasing/supply and advise management on needed actions for the maximum benefits
     

      Symposium and Conference Organizer

  1. Produce detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets)
  2. Agreeing to and managing a budget
  3. Securing and booking a suitable venue or location
  4. Ensuring insurance, legal, health and safety obligations are adhered to
  5. Coordinating venue management, caterers, stand designers, contractors and equipment hire
  6. Identifying and securing speakers or special guests;
  7. Planning room layouts and the entertainment programme, scheduling workshops and demonstrations;
  8. Coordinating staffing requirements and staff briefings
  9. Promote the event

 

Document and filling system

  1. Maintain the all administrative filing system and file all correspondence  e.g., receiving and routing document letter issuance system
  2. Responsible for the Official Information Act related to security classification of information
  3. Manage confidentiality of all administrative documents e.g., confidential documents sherdding, etc.
  4. Receive, direct and relay telephone messages and fax messages
  5. Coordinate Legal matters e.g., draft of letter/ documentation, follow up legal cases, coordinate with lawyers etc.

 

Other

  1. Develop and implement outreach program and services in order to enhance the University and public community relationship.

 

Executive Assistant

  1. Liaise with external contacts and staffs in other departments
  2. Perform experience level secretarial tasks of a confidential nature including but not limited to produce letters, reports, memorandums, etc. via the computer; make photocopies, files, distribute mails, etc.
  3. Provide word-processing and secretarial support

 


QUALIFICATIONS:

1.  Bachelor’s Degree in Public Relations, Education, Public Administration, Psychology, or related  field

2.   Relevant work experiences in public relations or student affairs in a higher education institution are highly desired

3.   Strong written, verbal, and presentation skills

4.   Self-motivated attribute, good leadership skill and interpersonal skill

5.   Good English, written and spoken

6.   Available for occasional overtime work
